ComSoc General Meeting

ComSoc General Meeting will be held for the purpose of voting for Secretary, Treasurer, Sponsorship Officer, Marketing Offier, IT Officer & Sub Committee(x4), and to vote on a constitutional amendment proposal.

 All nominations must be received by Wednesday 5 May Midnight. Each nominee will be given 1 minute to speak at the General Meeting.

Eligibility:
Only Ordinary Members (ie access cards registered members), who are registered with the Society one month prior to elections, shall be eligible to be candidates for election or to vote in the election.

Note: A large number of positions are open as current executive must resign from their current position if they wish to run for a different position at the elections.

 


Details as follows:

(1) Description of positions:
Secretary (x1)

-       Conduct the correspondence of the Society.

-       Handle general meetings (emailing exec members, booking rooms, taking minutes, following attendance)

-       Maintain the records and documents of the Society (e.g. club registration, event bookings, membership database updates, constitutional changes)

-       Maintain a list of all current members in accordance with union guidelines.

-       Maintain the Society’s registration with the USU.

-       Organise the AGM and annual elections.

-       Construct rosters (e.g. for O Week, selling of tickets)

-       Respond to all members’ enquires.

Treasurer (x1)

The amount of funds transacted by ComSoc each year is consistent with that of a small business. The role of treasurer involves the budgeting of the society's activities, managing the transactions of ComSoc and is one of the most involved roles in the society. The role includes:

-       Budgeting for ComSoc's activities.

-       Preparing the year-end financial statements of ComSoc to be audited.

-       Maintaining the cash receipts and cash payments journal.

-       Maintaining transaction documentation.

-       Invoicing suppliers and sponsors.

-       Undertaking bank reconciliations.

Sponsorship Executives (x1)

-       Contact companies (e.g. accounting firms and banks) to obtain sponsorship and maintain contact with sponsors.

-       Organise freebies for the O-week Showbags

Marketing Officer (x1)
-       Communicate the society’s events to the widest and most relevant audience creatively possible by creating Facebook events, posters, chalk advertising, emailing, SMSs and creating and distributing flyers.

IT Officer (x1)

-       Regularly update and maintain the ComSoc website by incorporating material given by other ComSoc portfolios.

-       Regularly update the Member Database

-       Email ComSoc members to inform them of upcoming events or news.

-       Experience in using HTML, css and JavaScript.  Previous studies in IT subjects, or IT experience, is highly regarded.

 

Sub Committee (x1)
- Assist each of the different portfolios when needed especially during busy times in the term.
- Postering and photocopying.

In addition to the above specifications, ALL executive members are required to do the following:
- Regularly attend ComSoc Events.
- Assist in the Marketing for events.
- Attend Executive and General Meetings.
- Regularly report back to the President and Vice President.
- Devote time to man a stall for the society on various occasions.

  6. 2 Social Activities Officers

  11. 1 First Year Representative
  12. and up to four Sub-Committee Members’

 

Be amended to:

‘The Society shall have an Executive consisting of:
